ADMINISTRATIVE ASSISTANT

We are seeking an Administrative Assistant to join our team! You will perform administrative functions, primarily around our sales department and organization to drive company success.

The Administrative Assistant/Sales Support shall assist with typing and logging quotes and orders. Roles include formatting quotes in Word, creating a pdf quote package, emailing the quote package to the customer, and linking all communication to a digital file system called M-files. Reading customer purchase orders and translating to internal Word documents and other computer programs. Data entry when needed in various locations. There will be updates to Excel files and digital files.

QUALIFICATIONS/REQUIREMENTS:

  • Highly Motivated Self-Starter
  • Proficient with Microsoft Office products, specifically Outlook, Word, and Excel Required
  • Good Math Skills Required
  • Accurate data entry is required
  • Attention to Detail
  • Excellent organization; efficiency, multi-tasking, and prioritization skills
  • Excellent Written and Verbal Communication Skills

ESSENTIAL DUTIES & RESPONSIBILITIES:

The administrative assistant partners with the other administrative assistants to make sure all office duties are completed accurately and in a timely manner. Duties and responsibilities include but are not limited to:

  • Use Word to type quotes and acknowledgements
  • Enter Requests for Information (RFI) and communicate accordingly
  • Create bills of lading for shipments
  • Contact freight companies as needed
  • Use of a digital filing system called M-files
  • Update Excel files as needed
  • Data entry as required
  • Perform all other office tasks as needed and assigned
  • Work performed on site, not remote

NICE TO HAVE BUT NOT REQUIRED:

  • Experience updating website content
